These policies support a safe, respectful, and well-organized experience for every Zippy Squirrels family. By enrolling or participating, families agree to the policies that apply to their program and to any additional terms communicated at booking.

Tuition posts and is due on the 1st of each month. To prevent the next month’s tuition from posting, select a class drop date no later than the final calendar day of the current month.

1. Enrollment, Tuition & Payment
1.1 Monthly Class Enrollment and Tuition
Monthly class enrollment continues from month to month until a withdrawal takes effect. On the 1st of each month, iClassPro posts the tuition charge for that month, and payment is due that day.
Auto-Pay is optional. If a family has enabled Auto-Pay, iClassPro charges the saved payment method when tuition posts. If Auto-Pay is not enabled, the amount remains outstanding in the family account and must be paid manually through the Client Portal. Choosing not to use Auto-Pay does not change the payment obligation or cancel an enrollment.
1.2 Annual Registration Fee
A nonrefundable $75 annual registration fee is charged once per family when the family begins monthly class enrollment and at each annual enrollment anniversary while the family maintains class enrollment. It is not charged per child. The fee does not apply to trial classes, camps, birthday parties, private lessons, or special events unless expressly stated.
1.3 Late Payments
A $25 late fee per child may be applied when tuition remains unpaid after five calendar days. This applies to both failed Auto-Pay charges and unpaid manual balances. Continued nonpayment may result in suspension or interruption of enrollment until the account is brought current.
2. Free Trial Classes
Each new participant may attend one complimentary trial class, subject to availability. Before participating, the family must create an iClassPro account and accept all required policies and waivers. A trial does not guarantee continued placement; families must complete enrollment while space remains. Additional complimentary trials require management approval.
3. Monthly Class Withdrawals
Families may withdraw from a monthly class through the Client Portal by selecting “Drop Enrollment.” Drop requests are automatically approved and may use the current date or a future date.

The child remains enrolled through the selected drop date.

Tuition that has already posted or been paid remains due, is nonrefundable, and is not prorated. Dropping an enrollment does not erase an outstanding balance.

To avoid the next month’s tuition charge, the drop date must be no later than the final calendar day of the current month, before the next charge posts on the 1st.

Once the enrollment ends, makeup tokens connected to that enrollment can no longer be redeemed because an active enrollment is required.
If the Client Portal is unavailable, contact Zippy Squirrels for assistance before the applicable billing date.
4. Absences & Makeup Tokens
Makeup tokens are an added benefit for families enrolled in monthly classes and are subject to space and program availability. Each child may receive up to two makeup tokens per calendar month, per enrollment.

Submit absences through the Client Portal. Email, phone, verbal, or other informal notices may not be processed successfully or on time.

An absence submitted more than 24 hours before class will receive a makeup token. A request submitted within 24 hours may receive a token only with management approval.

If Zippy cancels a class, an eligible token will be issued outside the monthly limit.

Tokens expire 30 days after issuance, are nontransferable, and may be used only while the child is actively enrolled.
-
A token does not guarantee a particular day, time, coach, class type, or open space.
5. Arrival, Check-In & Pickup
5.1 Fitness Class Check-In
Class participants must check in at the front desk kiosk, collect their name tag and cubby assignment, and wait for staff direction before entering the training floor. Late arrivals may be asked to wait for a safe transition or designated break. A participant arriving more than 30 minutes late may not be permitted to join, and a makeup token will not be issued.
Camps, birthday parties, private lessons, and special events follow the check-in instructions communicated for that program.
5.2 Pickup and Late Pickup
Families must arrange prompt pickup at the scheduled dismissal time and keep parent, guardian, emergency-contact, and authorized-pickup information current in iClassPro.

If a child is not picked up, staff will first attempt to contact a parent or guardian.

A $1-per-minute late pickup fee may apply beginning 15 minutes after scheduled dismissal.

If a parent or guardian cannot be reached, staff may contact an emergency contact or other authorized pickup person.

A child will be released only to an authorized adult; photo identification may be requested.
-
If no authorized adult can be reached and the child remains 60 minutes after scheduled dismissal, Zippy may contact local authorities or emergency services for assistance.

Repeated late pickups may result in program restrictions or suspension.
6. Instructional Integrity & Individualized Accommodations
During scheduled programs, the training floor is generally limited to Zippy Squirrels staff and enrolled participants. Families should contact management before participation to discuss any disability-related accommodations or support needs.
Zippy will evaluate accommodation requests individually, including requests involving an aide, therapist, counselor, or other support person. Any approved arrangement must be coordinated with management in advance and comply with applicable safety, waiver, and facility requirements.
Zippy may propose an effective alternative when appropriate. A requested accommodation may be denied if an individualized assessment determines that it would fundamentally alter the program, create a direct safety threat that cannot be reasonably reduced, or otherwise exceed Zippy’s applicable legal obligations.
7. Weather, Closures & Zippy-Initiated Cancellations
Zippy may cancel or shorten a program because of severe weather, unsafe road conditions, power outages, facility issues, staff illness, public-health concerns, or other circumstances affecting safety or operations. When possible, families will be notified through available channels such as email, text, the Client Portal, or social media.

Monthly classes: An eligible makeup token will be issued outside the monthly token limit.

Camps: The amount paid for a canceled day or undelivered portion becomes Zippy account credit.

Private lessons and special events: Zippy will first offer rescheduling; if a suitable replacement is unavailable, the amount paid becomes Zippy account credit.

Birthday parties: Zippy will first offer rescheduling; if no reasonable replacement date is available, all payments, including the deposit, become Zippy account credit.
8. Camp Refunds

9. Birthday Parties

A $150 reservation deposit is required to reserve the party and is credited toward the total party price. The family-initiated cancellation terms in Section 9.8 apply.

Participants beyond the number included in the reserved package are $25 per child until the next package tier is reached. Zippy may adjust the package based on the final participant count.

The final roster, participant count, pizza order, and remaining balance are due seven days before the party.

Late additions are permitted only when capacity remains available, required account documents are complete, and all additional charges are paid before participation.
9.2 Participant Eligibility & Required Documents

Coach-led party activities are designed for participating children ages 3–12. Participation outside this range requires advance management approval.

Children under age 3 may remain with their guardian in the designated party area but may not enter the training floor.

Each participating child must be added to an iClassPro account by the child’s own parent or legal guardian, who must accept Zippy’s required policies, waiver, and media release before the child enters the training floor.

The party host may not accept waivers or other required documents for another family.

9.4 Supervision & Training-Floor Access

A parent or guardian of each participating child age 6 or younger must remain onsite throughout the party.

Children age 7 or older may be dropped off after a parent or guardian completes check-in.
-
Parents and guardians are not permitted on the training floor during group activities.
-
Parents of participating children under age 4 are encouraged to arrive early during guest check-in to walk the course with their child before coach-led activities begin.
-
Children may take rest and hydration breaks in the designated area and must follow a Zippy Coach’s direction before rejoining the course.
9.5 Food, Pizza & Serving Responsibilities
-
Outside food is not permitted except cake or cupcakes, water bottles, and juice boxes.

Large cheese or one-topping pizzas may be ordered through Zippy for $20 each. A gluten-free option is available.

Pizza orders and payment are due seven days before the party. No changes or refunds are available after that deadline.

Zippy coordinates the pizza order and provides plates, napkins, and forks for the pizza.
-
The host provides dessert plates, napkins, forks, and any cake-cutting or serving utensils.
-
The host serves all food and beverages.
-
A gluten-free option does not guarantee an allergen-free preparation environment.
All food and beverages must remain in the designated celebration area and are not permitted on the training floor.
9.6 Decorations

The host must remove all balloons, decorations, and personal items before departure.
9.7 Group Photo & Media
A group photo is included in the party agenda. Each participant’s required account documents include a media release. Any specifically documented exception or opt-out will be respected.
9.8 Party Cancellations & Rescheduling

For a family-initiated cancellation, the $150 reservation deposit is nonrefundable.

If the family cancels more than 14 days before the party, payments beyond the deposit become Zippy account credit.

A family-initiated cancellation within 14 days of the party is fully nonrefundable.
-
Rescheduling is subject to availability and management approval.
If Zippy cancels the party, the separate Zippy-initiated cancellation terms in Section 7 apply.
10. Training Attire
TRAINING FOOTWEAR
All training takes place barefoot or in approved high-grip socks.

Regular socks, shoes, and other footwear are not permitted on the training floor.

Participants should wear comfortable athletic clothing that allows safe movement.
-
Long hair must be secured.
-
Loose clothing, skirts, dresses, tutus, large bows, beads, jewelry, or other items that could catch on equipment are not permitted.
A participant wearing unsafe attire may be asked to change or remain off the training floor.
11. Behavior, Safety & Respect
Zippy strives to maintain a safe, inclusive, and positive environment. Coaches use age-appropriate reminders, redirection, and supervised reset breaks to help participants return successfully to the activity.

Coach redirection: The coach identifies the unsafe or disrespectful behavior, restates the expectation, and gives the participant an opportunity to correct it.
-
Supervised reset: If the behavior continues, the participant may take a brief supervised break and review how to rejoin safely.
-
Removal from activity: If behavior remains disruptive or creates a safety concern, the participant may be removed from the activity and a parent or guardian may be contacted.
Bullying, physical violence, intentionally dangerous behavior, leaving a supervised area without permission, or other serious conduct may result in immediate removal. Removal for conduct does not qualify for a refund or makeup token.
Repeated concerns may lead to a support plan, modified participation, suspension, or termination. Zippy will consider individual circumstances and applicable accommodation obligations.
12. Facility, Lobby, Health & Media Rules
12.1 Lobby Supervision and Parent Presence

Young children in the lobby must be supervised at all times and may not enter the training area without staff direction.

Respectful behavior is expected from children and adults. Parents and guardians are asked to model positive sportsmanship.
-
Parents and guardians are welcome to remain in the lobby during regular classes. Training areas are reserved for participating children unless the child is enrolled in a parent-assist class.
12.2 Food and Hydration
During regular fitness class times, outside food and snacks are not permitted in the lobby or on the training floor. Participants may bring a labeled water bottle for use in the designated hydration area.
Camps, birthday parties, and Zippy-approved special events follow their own food rules and designated eating areas. Exceptions may be arranged for an approved medical or disability-related accommodation.
12.3 Photography and Video
Zippy may capture or use official photos and video according to the family’s media-release selection. Any documented opt-out will be respected.

Parents and guardians may photograph or record their own child from the designated viewing area when doing so does not interfere with instruction, safety, or privacy.
-
Avoid intentionally recording other children, and do not publicly share an identifiable image of another child without that child’s parent or guardian’s permission.
-
Livestreaming from the facility is prohibited.
-
Staff may restrict photography or recording at any time to protect safety, privacy, or program operations.
12.4 Illness and Return to Participation
A participant should stay home when illness prevents safe participation or may expose others. This includes fever; repeated vomiting or significant diarrhea within the prior 24 hours; worsening or unimproved respiratory symptoms; uncovered draining sores; or symptoms requiring a level of care that would interfere with group supervision.
If a participant becomes ill onsite, Zippy may separate the participant from the group and require prompt pickup by a parent, guardian, emergency contact, or authorized pickup person.
A participant may return when able to participate fully, symptoms are improving, fever has been absent for at least 24 hours without fever-reducing medication, vomiting has resolved and food or liquids can be retained, and diarrhea has improved without accidents. Provider guidance may be required when appropriate.
12.5 Medical and Emergency Information
Families must keep medical information, allergies, emergency contacts, and authorized pickup information current in iClassPro. A significant medical condition, allergy, support need, or relevant change must be communicated before participation.
If a participant may need emergency response, medication, or other support during a program, the family must coordinate an appropriate care plan with management in advance.

Medication may not be left with a child or staff member without prior management approval and written authorization.

Approved medication must be unexpired, in its original labeled container, and accompanied by clear instructions.

Self-carried emergency medication must be approved in advance.
-
Staff will act only within their training and authorization and may provide first aid, call 911, and contact a parent, guardian, emergency contact, or authorized pickup person as circumstances require.
