Policies, Rules, & Terms
Effective May 1, 2026
Our policies are designed to keep our young participants safe and our gym running like a well-oiled machine! By enrolling at Zippy Squirrels, you agree to the following terms and conditions.
1. Enrollment & Tuition
-
Monthly Tuition: Zippy Squirrels programs operate on a monthly tuition cycle. Beginning June 1, 2026, tuition will be automatically charged on the 1st of each month using the payment method on file.
-
Annual Registration Fee: A non-refundable $75 annual registration fee per family is charged at enrollment and on each enrollment anniversary. This fee supports enrollment administration, safety systems, insurance-related costs, and ongoing program operations. It is separate from tuition and other program fees.
-
Payment Method & Auto-Pay: Zippy Squirrels offers Auto-Pay as the easiest way to keep monthly tuition current and maintain continuous enrollment. Families are encouraged to keep a valid payment method on file for automatic billing on the 1st of each month; families who choose not to use Auto-Pay are responsible for submitting payment by the monthly due date to avoid late fees or enrollment interruptions.
-
Late Fee Policy: Families are responsible for keeping tuition payments current. A $25 late fee per child may be applied to payments that remain unpaid more than 5 days after the due date. Continued non-payment may result in enrollment interruption until the account balance is resolved.
2. Free Trial Classes
New participants may attend one free trial class to determine whether Zippy Squirrels is the right fit. Trial classes are subject to availability and do not guarantee ongoing placement in a class. To secure a spot after the trial, families must complete enrollment before the class reaches capacity.
3. Cancellations & Withdrawals
To stop future monthly billing, families must submit a cancellation request at least 14 days before the next billing date. Cancellation requests should be submitted through the family account portal whenever possible. If portal access is unavailable, requests may be emailed to info@zippysquirrels.com. Requests must include the child’s full name, current class day/time, and final date of attendance. Tuition already charged is non-refundable, and missed cancellation deadlines may result in the next month’s tuition being charged.
4. Absences & Makeup Tokens
We know life happens! To support our families, we offer a makeup token system. Makeup tokens are an added benefit for families enrolled in monthly classes and are subject to availability. Each child may receive up to two makeup tokens per calendar month, per enrollment.
-
Absences should be submitted through the family account portal. Email, phone, verbal, or other informal notices may not be processed successfully or on time.
-
Absences submitted more than 24 hours before class will receive a makeup token. Absences submitted within 24 hours of class may receive a makeup token subject to management approval.
-
If Zippy Squirrels cancels a class due to weather, coach illness, emergency closure, or another facility-related reason, an eligible makeup token will be issued and will not count toward the monthly limit.
-
Makeup tokens expire 30 days after issuance, may only be used while the child is actively enrolled, are non-transferable, and do not guarantee availability for a specific day, time, coach, or class type.
5. Arrival & Pickup
-
All participants must check in at the front desk kiosk upon arrival and collect their name tag and cubby assignment before class.
-
To protect class flow and safety, late arrivals may be asked to wait until a designated water break before joining the training floor. Participants arriving more than 30 minutes late may not be permitted to join class, and a makeup token will not be issued.
-
Parents and guardians are expected to pick up their child promptly at dismissal at the end of class and camps. A $1 per minute late pickup fee may be applied beginning 15 minutes after class or camp ends. If a child remains at the facility 60 minutes after closing and we are unable to reach a parent, guardian, or emergency contact, Zippy Squirrels are required to contact local authorities for assistance.
6. Instructional Integrity & Outside Providers
To maintain a safe, consistent, and coach-led environment, only Zippy Squirrels staff and enrolled participants are permitted on the training floor during scheduled classes and camps. Outside providers, including counselors, aides, shadows, therapists, or specialists, are not allowed to accompany children onto the training floor or provide services during Zippy Squirrels programs. Families are encouraged to share any relevant support needs with our team before class so we can determine whether our program is an appropriate fit and how we can best support the child within our staffing and safety model.
7. Weather & Closures
Zippy Squirrels may cancel classes, camps, events, or private lessons due to severe weather, unsafe road conditions, power outages, facility issues, coach illness, public health concerns, or other circumstances that may affect safety or operations. When possible, Zippy Squirrels will notify families by email, text, family portal, or social media. If Zippy Squirrels cancels a class, an eligible makeup token will be issued in accordance with our makeup policy.
8. Camp & Birthday Party Refunds
Camp cancellations are eligible for refunds based on the amount of notice provided:
-
60+ days before camp: 100% refund
-
30–59 days before camp: 75% refund
-
15–29 days before camp: 50% refund
-
8–14 days before camp: 25% refund
-
Within 7 days of camp: Non-refundable
Camp payments are otherwise non-transferable unless approved by management.
-
Birthday Parties
Birthday party cancellations made within 14 days of the event are non-refundable. Rescheduling requests may be considered based on availability and management approval.
9. Dress Code: "The Zippy Attire"
Safety is our #1 priority. Participants must follow these gear rules:
-
Feet: Bare feet only on the training floor (high-grip socks are permitted). No standard socks or shoes.
-
Coverage: Athletic tops and bottoms must cover the midriff. For safety during spotting and equipment use, "tummies" must be covered.
-
Hair & Jewelry: Long hair must be tied back. No large bows, beads, or jewelry that could cause injury during obstacle work.
-
Restricted Items: No skirts, tutus, or dresses. Participants wearing restricted items will be asked to change or will not be allowed on the floor.
10. Code of Conduct
We strive to maintain a high-energy, inclusive, and positive environment for every participant. When unsafe or disrespectful behavior occurs, we provide guided warnings to give children the opportunity to self-correct. However, if behavior remains disruptive or compromises safety, our coaches will implement the following Strike System:
-
Strike 1: For unsafe behavior (e.g., ignoring instructions, "unsafe hands"), the participant is placed in the “Penalty Box” for 90 seconds. This gives them time to reset and think about unfavorable behavior. They must share how they will correct the behavior before returning.
-
Strike 2: A second occurrence results in 2 minutes in the “Penalty Box” and a formal warning that the next step involves a parent/guardian. The parent/guardian is notified the child is on strike 2.
-
Strike 3: Immediate removal from class. The participant will wait in the lobby with a parent/guardian or management. Re-entry to the class requires management approval.
-
Zero Tolerance: Bullying or physical violence will result in immediate removal from class without a refund.
11. Additional Gym Rules
-
All children must be checked in for their class at the front desk kiosk. Young children in the lobby must be supervised at all times and are not permitted in the training area.
-
Respectful behavior is expected from all children, parents, and guardians. We ask that parents lead by example and model positive sportsmanship.
-
Participants train barefoot. We recommend "easy-on, easy-off" shoes for bathroom breaks.
-
Please do not bring your child if they are unwell. Notify staff of any medical conditions or allergies before class begins.
-
Parents/guardians are welcome to stay in the lobby during the class. Training areas are reserved for children only unless the child is enrolled in a parent assist class..
-
Photography and video are permitted. Please be respectful and mindful of other children when capturing content.
-
Your children work hard during class and should bring a water bottle for hydration breaks. Water bottles will be stored on the designated drink ledge at the entrance and exit of the training floor.
-
Please help us keep the "nest" clean by leaving snacks and food at home. Outside food and snacks are not permitted in the lobby or training areas. Dispose of all trash and food before entering the lobby area.
-
Gum is not allowed inside the facility.
